Board of Directors Roles & Responsibilities

President / Co-President

While the PTSA President  provides leadership and support to the Executive Board, Chairpersons, volunteers and our school community, the PTSA President also presides at all PTSA meetings, makes appointments as necessary to positions and committees, and are an ex-officio member of all committees.   The PTSA President also communicates regularly with the school principal and the administrative staff, internally communicates information important to PTSA programs, and attends or sends representatives to the Lake Washington PTSA Council meetings and state workshops.    This position requires a presence at school and a reasonable number of PTSA functions.  The amount of hours spent ranges throughout the year and with the president’s leadership style. This position can be held by just one person, or two people can share the position as co-presidents.

VP Fundraising

The VP of Fundraising raises the funds for the PTSA through fun school events, as well as smaller behind the scene efforts to raise money.  The VP of Fundraising manages chairs for the PTSA membership, Back to School Fundraiser, Original Works, Labels/Boxtop Program, and should have an understanding of procedures of rules of fundraising.  This position is an opportunity to be creative in finding ways to raise money. It is a big job, but very rewarding!    This position requires presence at school and the overall time commitment for this position is 4-5 hours per week in Aug/Sep/Oct and May, and only 1-2 hours a week the rest of the months. 

VP Events

The VP of Events oversees the planning and execution of fun, educational, and community-building family events and manages chairs for Back to School BBQ, Ice Cream Social, International Night, International Games Night, Skate King, Sock Hop/Hoe-Down, Read Across America, Back to School coffee and any others that you'd love to have! Gear up for some serious fun! If you love to plan a party, we need you here!

VP Student Enrichment

The VP of Student Enrichment guides programs that are directly related to enhancing the educational experiences of all of the students of our school and manages chairs for Reflections, Parent Education, Special Needs, Grant Writing, Assemblies, Extended classes and Art Docent. This role is typically filled by someone who has special interests in Art Education, Special Needs, or Parent Education and would like to help develop programs that directly impact our kids' learning experiences.  

Secretary

The Secretary provides the vital record keeping functions for the PTSA.    They attend and record minutes for both Boards meetings and General PTSA meetings, submit minutes for approval, handle correspondence regarding any PTSA meetings and keeps attendance records.    They also maintain the legal documents and the permanent record files.    This position is perfect for someone who is very organized, enjoys writing, and has the ability to summarize well.    The amount of hours spent per is 5 – 7 hours per month (including Board meetings and General PTSA meetings). 

VP School Services
The VP of school services oversees the services that directly benefit our school community and manages Chairs for Emergency Preparation, Hearing and Vision, Morning Valets, Staff Appreciation, Student class Photos, Yearbook, Holiday Helping Hands and Kindergarten Registration. This position is a wonderful opportunity to offer something back to our school!


Treasurer
The treasurer deposits and disburses dues & funds, prepares a monthly Treasurer's report, prepares mid-year and end-of year summaries and is responsible for all required government paperwork. The treasurer is also responsible for keeping all financial records and for presenting them to a yearly audit committee. Do you have an eye for detail and a head for numbers?

 

VP Communications

If there a writer, graphic artist, blogger, journalist, or marketer somewhere inside you, then VP of Communications, arguably the best position on the board, just might be for you. The VP of Communications is an incredibly fun and creative position that oversees the chairs who produce the Back to School packets, eNews, the PTSA web site, and the annual student directory.

 

Chair Positions Roles & Responsibilities

 

Advocacy Chair: The AC collects and forwards emails and info from WSPTA, LWPTSA or other local sources. The role can become as little or as much as the Advocacy Chair wishes to develop. Time commitment is up to the Chair -a bare minimum is 1/hr week to stay up with info and forward communications on to the Board, plus another 1 hr + 2 hrs in the BOD meeting week to prep and attend the monthly meeting. If the AC wished to attend the monthly Council Meeting, plus the occasional AC training at the Council or Regional level, add another 4 hours per month. If they wish to build an advocacy network or committee to further develop and disseminate info, that could be as few or many hours a week as they see fit. Helping organize Focus Day in Olympia attendees in February and going can be another 2-20 hours. The Legislative Assembly in Oct and the Convention in May can each add another two 8-hr days if they wish to attend (LegAssembly highly recommended for the experience and participation!).

Extended classes:   The extended classes chairperson is responsible for the creation and day-to-day running of the Audubon PTSA after-school enrichment program.  The chair will work with parents, outside vendors, and the school to determine available space and times, set up the logistics of the classes with both the instructors and the appropriate school personnel.  Other responsibilities include: class publicity, keeping the website for Extended Classes up to date and accurate, overseeing class registration, creating rosters for each class, submitting accurate deposits, records and payment requests to the treasurer, answering questions, and continuing to act as a liaison between parents, school and the vendors that offer classes for us. Time commitment varies from  30 minutes a week to several hours per week, and is busiest in August/September, and then at the beginning of new sessions in January and March.  90% of this job can be done from home. 

Ice Cream Social:  For someone who doesn’t mind  getting their fingers sticky and enjoys ice cream and seeing lots of happy children's faces, this job is for you!  Responsibilities of this position are, asking for ice cream donations, coordinating volunteers and purchasing sundae toppings.  The total time commitment is 15 hours.

 

PTSA Webmaster:  The person in this position produces the PTSA web site. This position gets the creative juices of graphic artists and writers alike going. You can put in as much or as little time in to this position as you like; you can spend time making the PTSA web site your own, or simply update what’s already there. Minimum time commitment is 30 minutes per week from home to make the weekly updates.

 

Read Across America:  This position is perfect for someone who has a passion for books and for kids celebrating books.  Responsibility required is set up for literary events for kids during the week.   Time commitment is  1-2 hours a week in February. 

 

Welcome Back Coffee:  This is great for someone with good hospitality skills who enjoys hosting a brunch as well as meeting and greeting new people.   This position entails purchasing baked goods and fruit, arranging flower donations from parents, decorating the room and hosting event.   The time commitment is 5 hours total and you are done with your PTSA job the 2nd day of school! 

 

Year book: The Audubon school yearbook is a keepsake of the year’s activities, clubs, classes and individual student pictures. If you are a shutterbug, volunteering here is a fun, easy way to contribute your talents. If you don't want to take the pictures yourself, organize the 5th and 6th graders into helping with this. The PTSA has cameras for this purpose. This year's year book effort will start shortly and you can see how it's done!!
